Most editable Dropdowns are in the Admin →Dropdowns area of the platform. However, there are some that come from the main parts of the system such as Fuel Tanks, Fields, Vehicles and Staff. Lastly, there are a few that are not user editable, these include fuel types, user access levels and the two Emplyment types of Driver and Mechanic.
Editing is only possible until the entry is locked. This is how we ensure the validity of our data. If you have made a mistake after locking the entry, you can use the Adjustment option and then relate the adjustment to the error record via the Original Book Entry Number.
This can be used to make an adjustment to an incorrect Fuel Issue record or it can be used to track some kind of error, this could be due to fuel being spilt or balancing the actual tank volume to the system in the case that a discrepency occurs over time. A usual reason for a discrepancy is due to the volume of fuel changing with temperature and this can affect the measurements.
This is an app for both iOS and Android that allows the platform to send PUSH notifications to any user who has subscribed to the Notification Topic in the platform. The main notifications are for Fuel Issue Approvals and Incomplete Fuel Issue entries. If the PUSH notifications are not used, you can still set up the Automated reports to get email reports at your chosen time intervals.
Since you cannot edit a Fuel Entry after it is locked you need to ensure that all the data is correct. If you have an issue saving the correct data, click the Incomplete button and this will notify your team that there is an issue and they can help rectify the issue before you save the data.
The Fuel Entries have been locked and this prevents any further changes. After locking the records you can then see them in your reports across the system. It is good practice to lock the records after reveiwing them at the end of each day. Once you have 20 unlocked Fuel Entries you will not be able to add more, until you lock those 20 records.
To set up Automated Reports, go to Reports → Automated Reports, select your Report Type and interval frequency from the dropdown menus, then click Create. Existing Automated Reports can be viewed at the bottom of the page, where you can edit, send a test email (envelope icon) or delete a report (trash can icon).
For notifications received via Ntfy, you need to open the notification and select 'Review', which will direct you to a webpage. Here, log into Agri Dynamix, where you will find a list of approvals awaiting your action. By clicking on the open icon next to the approval you wish to process, you can view its details and have the option to add a comment. To complete the process, click 'Approve'.
If you are using the Web Platform, you should click on the Notifications Triangle icon at the top right of the page. This will display any pending approvals, indicating the Type of Approval. Similar to the Ntfy process, click on the open icon next to the approval you want to handle, review the details, optionally add a comment, and then click 'Approve' to finalize the approval.
Yes, you can delete Dropdown values for Jobs, Crops, Service Items, Vehicle Makes and Types, or Employment Types. To remove a value, go to Admin → Dropdowns, where you'll see Dropdown Categories on the left and their Values on the right. Select the category you want to delete from and click the trash can icon on the right. For Fields, Vehicles or Staff, you can only archive them after then have been used. This is because fuel records are locked to these records. An orange 'open' icon indicates an archived entry. To reinstate any of these entries, click on the orange 'open' icon and select 'Reinstate'.
To find out when your license is going to expire, go to Admin → Company Settings. On the right-hand side, look under 'Subscription'. There, you will find your license's start and end dates, as well as the number of tanks your license allows.
